Why a group works as a shared folder

Files posted in a Telegram group stay in the cloud. Anyone in the group can download them again later, on any device, without asking the person who sent them. A single file can be up to 2 GB, or 4 GB with Telegram Premium; see sending large files. That is why many teams, classes and clubs use one group as their file library.

The catch is finding things again once hundreds of messages have gone by. Telegram already sorts everything by type for you, and three small habits make the rest easy.

Where every file in the group is collected

Tap the group's name to open its info. Below the members, Android shows a tab for each kind of item that has been posted, such as Files, Media, Links or Polls; a kind that was never posted has no tab. Telegram Desktop shows the same thing as rows in the group info, such as "1 file", which open a list grouped by month.

Telegram for Android, a group's info screen below the member list: tabs for Files and Polls, with an uploaded file meeting.pdf listed under Files
  1. One tab per kind of item that has been posted
  2. Every file ever sent to the group, newest first

The Files tab is the library itself: every document sent to the group, newest first, each one tap away from download.

Three ways to find a file again

What you rememberWhat to use
Its type, roughly whenThe Files or Media tab in the group info
A word from its name or captionSearch inside the group; see searching within a chat
Its categoryA hashtag such as #minutes or #contracts added to the caption when it was posted; tap the hashtag to see every post with it

Search reads file names and captions, not the text inside a PDF or document. A file called scan_0042.pdf with no caption is close to unfindable later, so the habit that matters most is a clear file name or a one-line caption when you post.

Split a busy library with topics

When the group holds many kinds of material, turn on topics in the group's settings. Each topic becomes its own thread, such as Minutes, Design files or Invoices, so files are posted and found by section instead of all in one stream. See organising a group with topics.

Let new members see older files

If "Chat history for new members" is set to Hidden, people who join later cannot see anything posted before they arrived, including the files. For a library, set it to Visible. The other first settings are in creating a group.

FAQ

Where can I see all files sent in a Telegram group?

Tap the group's name to open its info. Android shows a Files tab under the members; Telegram Desktop shows rows such as '1 file'.

Does Telegram search find text inside a PDF?

No. Search reads file names and captions, so name files clearly or add a caption when you post.

Why can't new members see older files in my group?

Chat history for new members is set to Hidden. Change it to Visible in the group's settings.
